Look, We Get It - Privacy Matters

Here at FrostVeil Architecture Studio, we're not into collecting data just for the sake of it. We only gather what we actually need to work with you on creating beautiful, functional spaces that work with our harsh Canadian winters. This policy spells out what info we collect, why we need it, and how we keep it safe.

What Information We Actually Collect

When you reach out to us or work with us, we might collect:

  • Basic Contact Stuff: Your name, email, phone number, and mailing address. Pretty standard - we can't call you back if we don't have your number, right?
  • Project Details: Information about your property, design preferences, budget range, and what you're hoping to achieve. This helps us understand if we're the right fit for your project.
  • Technical Data: When you visit our website, we collect basic stuff like your IP address, browser type, and pages you looked at. Nothing creepy, just helps us keep the site running smoothly.
  • Communication Records: Emails, phone conversations, meeting notes - basically documentation of our conversations so we don't forget what we discussed.

How We Use Your Information

We're architects, not data miners. Here's what we do with your info:

  • Respond to your inquiries and provide quotes for architectural services
  • Work on your actual project - designs, permits, construction documents, all that good stuff
  • Send project updates, invoices, and important documents
  • Improve our services based on feedback and past experiences
  • Keep records for legal and professional liability purposes (unfortunately necessary in our field)
  • Occasionally send newsletters about our latest projects or thoughts on cold-climate design - but only if you've said that's cool with you

Who We Share Information With

We don't sell your data - period. But we do sometimes need to share info with:

  • Project Partners: Engineers, contractors, consultants who are working on your project with us. They need to know the details to do their job.
  • Service Providers: Companies that help us run our business - cloud storage, email services, accounting software. They're bound by confidentiality agreements.
  • Legal Obligations: If the law requires it, like building permit applications or responding to legal requests.
  • Professional Bodies: We're registered architects in British Columbia, so sometimes we need to share info with regulatory bodies for licensing purposes.

Cookies and Website Tracking

Our website uses cookies - those little files that remember your preferences. We use them to make the site work better and remember if you've visited before. Most browsers let you control cookies through their settings. If you block all cookies, some parts of the site might not work as smoothly, but you'll still be able to contact us and see our work.

How We Protect Your Information

We take security seriously. All our systems use encryption, secure servers, and password protection. Our team's trained on privacy best practices, and we only give access to people who actually need it for their work. That said, no system's 100% bulletproof - but we do everything reasonable to keep your info safe.

How Long We Keep Your Data

Project files and communications are kept for at least 10 years after project completion - that's standard practice in architecture for liability reasons. After that, we review and securely dispose of info we no longer need. If you've just inquired but didn't move forward with a project, we'll keep your contact info for about 2 years in case you change your mind, then delete it if we haven't heard from you.

Your Rights and Choices

Under Canadian privacy laws (PIPEDA and BC's privacy legislation), you've got rights:

  • Access: You can ask to see what personal info we have about you.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: You can request we delete your info, though we might need to keep some stuff for legal or professional reasons.
  • Opt-Out: Don't want marketing emails? Just click unsubscribe or let us know.
  • Portability: You can ask for a copy of your data in a common format.

To exercise any of these rights, just email us at studio@frostveilborn.info or give us a call.

Third-Party Links

Our website might link to other sites - maybe manufacturers we like or portfolio platforms. We're not responsible for their privacy practices, so check their policies if you're visiting them.

Changes to This Policy

We might update this policy from time to time as our practice evolves or laws change. When we do, we'll update the date at the top and post the new version here. For major changes, we'll send an email to active clients.

A Note on Portfolio Images

We love sharing our completed projects, but we always get permission from clients before posting photos or project details publicly. If you're working with us and have concerns about privacy or photography of your project, let's talk about it early on.

Bottom Line: We respect your privacy because we'd want the same respect for ours. We collect what we need to do great work for you, we protect it properly, and we're transparent about how we use it. If that ever changes or if you have questions, we're here to talk.
